File import or upload failed
Fix a resume, job posting or document that won’t import or attach. Check the file type, size and length, scanned and password-protected files, and what each message means.
Most failed imports come down to the file itself: its type, its size, how much text it has, or text that’s really an image. Work through these checks, or type or paste the details into the profile instead.
1. Check the file type
| Where | Files you can use |
|---|---|
| Mac, Windows, iPhone and Android | PDF, Word (.docx), RTF, plain text (.txt) and Markdown (.md) |
| Web | PDF, Word (.docx), plain text (.txt) and Markdown (.md) |
The web doesn’t accept RTF. Older Word files (.doc), Pages files and images don’t work. Open the file in the app you made it with and save or export it as a PDF or .docx.
2. Check the size and length
- Size: files can be up to 10 MB. Large images make files big, so export a version without them, or as a plain PDF.
- Length: a file can have up to 50,000 characters of text. Remove what Copilot doesn’t need, such as appendices or long reference lists, or split the file in two.
When you import into a profile, Interview Pilot combines the file with what’s already in the fields. If you see This import is too large to process. Please reduce the document or profile content and try again., clear some of the fields first, or use a shorter file.
3. Use a file with real text, not a scan
Interview Pilot reads the text in a file. It can’t read text in pictures, such as a scanned or photographed page, or a PDF made from screenshots.
To check, open the PDF and try to select a word. If you can’t select text, it’s an image. Export the document again from the app you wrote it in, such as Word, Pages or Google Docs.
When you attach a scanned PDF as a document in the apps, it’s added, but its text only says No text could be extracted from this PDF. The document may be scanned or contain only images. Remove it and attach a version with real text.
4. Remove the password
If a file needs a password to open, Interview Pilot can’t read it. Open it, save a copy without the password, then import the copy.
5. If you see a message
On Mac and Windows, messages appear under Profile Error. On iPhone and Android, they appear under Import Failed. On the web, they appear on the profile page.
| Message | What to do |

Importing reads the file with AI, so it needs an internet connection. If the import fails without one of these messages, check your connection and try again.
Type or paste instead
You don’t need a file to fill in a profile. Copy the text from your resume or the job posting and paste it into the fields, such as Experience and education or Job description. Copilot uses the fields the same way as imported text. See Create an interview profile.
