How to Reschedule a Job Interview Without Confusion

Request a new interview time clearly, offer workable alternatives, and confirm the replacement appointment with these email examples.

Contact the organizer as soon as you know you cannot attend, identify the original appointment, and offer a few realistic alternatives. State that you still want to interview. A request to move the meeting is not a confirmed new appointment: wait for agreement before treating a replacement time as booked.

Penn Career Services advises prompt communication and alternative time slots when interviews conflict with classes. The same practical approach helps with other scheduling problems, although an employer may have limited flexibility.

When you have advance notice

Reply to the scheduling thread so the context stays together. Give a short, truthful reason if useful; you do not need to describe sensitive personal circumstances.

Here is an original example:

Subject: Request to reschedule operations interview on October 8

Hi Jordan,

I have a work commitment that I cannot move and am unable to attend our October 8 interview at 2 p.m. Central Time. I'm sorry for the inconvenience and remain interested in the operations coordinator role.

Would October 9 between 10 a.m. and noon, or October 12 after 1 p.m. Central Time, work for the team? If neither is suitable, please let me know what alternatives are available.

Offer windows that accommodate the full interview, not just its start. For a two-hour panel, a 30-minute gap in your calendar is not a workable alternative. Include the time zone even when both people appear to be in the same city.

If the interview is today

Use the day-of contact instructions in the invitation. If you have a recruiter phone number and the meeting is imminent, call rather than relying only on an unread email. Leave a brief message if needed and send a written note with the appointment details.

Hi Jordan, this is Sam Lee. An unexpected personal issue means I cannot attend our 2 p.m. interview today. I'm sorry for the short notice. I have also emailed and would appreciate the opportunity to arrange another time if the team is able to do so.

Do not invent an emergency to make the request seem more acceptable. If you can join late but are unsure whether that would work, give your realistic arrival time and let the organizer decide.

If the employer asks to reschedule

Confirm an offered time you can attend, or provide alternatives. You do not need to apologize for being unavailable at a newly proposed time.

Thanks for letting me know. October 12 at 1 p.m. Central Time works for me. Could you confirm whether the interview duration and video link will stay the same?

A changed schedule alone does not establish anything about your candidacy. If repeated changes create a practical problem, state the constraint directly and ask what arrangement is realistic.

Close the calendar loop

Check the revised date, time zone, duration, location or link, and any preparation deadline. Accept the new invitation once it matches the agreement, and remove the obsolete appointment from your own calendar. Do not assume editing your copy updates everyone else's invitation.

If you no longer want the role, decline the interview instead of repeatedly postponing it. If the replacement appointment is soon, use a short-notice preparation plan to prioritize the remaining work.
