How to Email a Recruiter About a Job
Write a focused recruiter email with the right role details, relevant evidence, and one clear request, without replacing the application process.

Identify the role, give a brief reason your experience is relevant, and make one clear request. Include the job ID if the posting has one. Use a professional contact the recruiter or employer has made available, and follow the application instructions even if you also send an email.
Princeton's career-development email guidance distinguishes telling a recruiter about an application from expressing interest in future opportunities. Make that distinction in your own message: the reader should not have to guess whether you applied or whether a job actually exists.
Start with a useful subject line
Use the role and context, not a vague "Hello" or a promise that you are the perfect candidate.
Examples:
- Application for inventory analyst, job 4821: Jordan Chen
- Question about the customer support associate schedule
- Introduction: laboratory technician seeking opportunities in Denver
Check that the recruiter handles the relevant employer, location, or job family. A person recruiting software engineers may not be the right contact for an accounting vacancy at the same company.
Example for a job you have applied to
This fictional example gives evidence without rewriting the entire resume:
Hi Casey,
I applied for the inventory analyst role, job 4821, through your careers site. My current work includes reconciling stock records and investigating differences between purchase orders and deliveries. I also built a weekly exception report that our warehouse supervisor uses to prioritize checks.
The role's focus on inventory accuracy is closely related to that work. I've attached the resume I submitted and would welcome a conversation if my background fits the team's needs.

Use only achievements you can explain. One concrete example is more useful than a string of adjectives. If yours is vague, improve the underlying resume bullet before repeating it in an email.
Example for a question before applying
Ask only when the answer is absent from the posting and matters to your decision.
Hi Casey,
I'm interested in the customer support associate opening, job 5103. The posting lists an evening schedule but does not specify the time zone. Could you confirm the scheduled hours and time zone? I have email and phone support experience and would like to check that I can meet the schedule before applying.

Do not ask someone to summarize a clearly written posting. If a deadline is approaching, weigh whether you can submit honestly without the answer; do not claim availability you do not have.
When contacting an agency recruiter
State the work you seek, location or travel constraints, and relevant experience. An agency may represent several employers, so a specific target helps more than "anything available."
I am looking for laboratory technician positions in the Denver area. I have experience preparing samples and maintaining equipment logs in a food-testing lab. Does your team recruit for comparable roles? I can send a resume if that would be useful.
Verify who you are communicating with before sharing personal documents. A first introduction does not require banking details, identification scans, or confidential work samples.
Check the message before sending
Confirm the recipient, job ID, attachment, and any file-sharing permissions. An attachment should be the intended version, not your editable master with comments. Keep confidential employer information out of examples.
If you already wrote and are waiting for an application update, use the application follow-up guide. Sending the same introduction repeatedly is not a new reason for someone to respond.
