Executive assistant interview preparation should include situations where two reasonable requests conflict. The useful answer is not simply that you are organized; it is how you determine the priority, protect sensitive information, and keep people informed.
O*NET's executive assistant profile includes scheduling and preparation of executive materials. The scenarios below are original practice exercises, not questions reported from a specific employer.
How would you resolve competing calendar requests?
Ask about the purpose, deadline, required attendees, and flexibility of each request. Apply the executive's established priorities rather than guessing that the most senior requester must go first.
In a fictional case, a customer escalation and an internal update both need the same hour. An answer might be:
I would confirm whether the executive is essential to the escalation and whether a decision is required that day. If the internal update can be handled asynchronously, I would propose that option and communicate the change. If both require a live decision, I would present the conflict and alternatives to the executive instead of quietly dropping one commitment.
Follow-up: What would you do if you could not reach the executive? Explain the delegated authority or established escalation route you would use. Do not invent permission to make every decision independently.
What would you do with an urgent confidential request?
Consider a request for a restricted board document from an unfamiliar sender claiming to work with a director. Urgency does not establish authorization.
Explain how you would verify the request through an approved channel, check access permission, and avoid forwarding the document while verification is incomplete. In a real interview example, describe the process without revealing the confidential content.
How do you prepare an executive for a meeting?
Begin with the decision or outcome needed, not the number of pages in the briefing pack. Explain how you confirm the agenda, obtain missing information, flag unresolved issues, and make the required action easy to find.
A useful follow-up is: How would your preparation differ for an update versus a decision meeting? An update may need a concise status summary; a decision needs options, implications, and the decision owner's question clearly identified.
Tell me about an administrative mistake
Choose a genuine example and own your part. Explain immediate correction, affected-person communication, and the prevention step. Avoid claiming you never make mistakes or disguising someone else's error as your own learning story.
If a travel booking was wrong, separate correcting the itinerary from obtaining approval for any additional cost. Initiative does not remove spending controls.
Questions to ask the interviewer
Ask how priorities are agreed, what decisions are delegated, and how the executive prefers urgent conflicts to be surfaced. These answers help you understand the working relationship, not just the calendar volume.
For behavioral delivery, use STAR. If you need a second accountability example, practice with the mistake interview guide, keeping confidential names and details out of the answer.
